We do our best to accommodate extraordinary guest requests, but due to our short season and remote location we cannot make exceptions to our deposit and cancellation policies. We very strongly recommend that all guests purchase travel insurance.

Booking & Cancellation

A deposit representing 50% of the total cost of booking including taxes and gratuities is due at time of reservation. The remaining balance is due 90-days prior to arrival. We accept Visa, MasterCard or American Express. Settlement is also accepted by direct deposit; please advise reservations once paid to ensure receipt. Please share confirmation of remittance with reservations via reserve@clayoquotwildernesslodge.com to ensure receipt of funds. Funds are only accepted in Canadian Dollars (CAD).

For cancellations and booking amendments outside of 90 days from arrival, a $500 per person cancellation fee is applied, with the remaining deposit refunded. Cancellations and booking amendments made within 90 days of arrival result forfeit all monies paid. Refunds or credits will not be granted in the event of non-arrival, any unused services, or unused nights due to travel or weather disruptions. For peace of mind, we recommend you protect yourself with comprehensive travel insurance to cover any cancellation fees.

Travel and Transfers

Charter floatplanes depart from the YVR South Terminal – Seair Seaplane Terminal from 3-4pm on Thursdays and Sundays, arriving to the lodge between 3.45-4.45pm. Check-in is required by 2pm. Floatplanes begin returning lodge guests to Vancouver following the unloading of arriving guests, between 4.45pm and 5.30pm, arriving YVR South Terminal 45 to 60 minutes after departure. Seaplanes transfers are a shared travel service and you may be joined by other guests. The weather conditions on Vancouver Island are fast changing and often unpredictable. It is highly recommended that guests avoid booking connecting flights on the same day as their arrival and departure to/from the lodge.

Due to inclement weather, floatplane schedules are sometimes changed or amended by the operator to suit, or include a ground transfer component. While the lodge and our floatplane partners do our best to adhere to plans, such changes and delays are beyond our control and are made for the safety of passengers and guests. Sometimes for the safety of passengers, scheduled flights are cancelled or delayed, until pilots receive the all-clear to take off from YVR South Terminal. If floatplane transfers from Vancouver Airport are cancelled, ground and boat transfers will be provided at no additional cost. Boat transfers are a shared travel service and you may be joined by other guests. Please inquire directly with the lodge regarding policies.

Children

Clayoquot Wilderness Lodge welcomes children aged six years and over. Extra Person rates apply to guests aged 6-18 years.

Maximum Occupancy

Maximum occupancy in all Ensuite and Deluxe tents is four people. Maximum occupancy in the Hillside Family Tent is eight people.

Check-In and Check-Out

Check-in and check-out days are on Sundays and Thursdays only. Check-in time is 3.30pm. Check-out time is 12pm. Early check-in and late check-out are subject to availability. Surcharge may apply.

Luggage Allowance

Baggage allowance per person on the floatplane is 40 lbs (18 kgs), which includes a small carry-on. Guests arriving to the lodge before or after extended travel can store excess luggage securely at the Seair floatplane terminal.

The tariff includes: luxury tented accommodation, all gourmet meals including snacks, featured wines, beer and alcohol, evening turndown service and all in-room amenities, laundry service, horse-drawn wagon shuttle and unlimited enjoyment of amenity tents and waterfront lounge.

Highly personalized, unforgettable adventures include horseback riding, wildlife watching, canoeing, sea-kayaking and stand-up paddle boarding, fishing, hiking, archery, trail running, mountain biking, rock climbing and rappelling. Safety is foremost, and every experience provides the appropriate safety equipment, and guidance and instruction by our trained guides, where applicable. Gentle stretch classes are offered every morning (in yoga studio or on the waterfront deck) and a state-of-the-art fitness room is also available.

Heli Experiences & Extras

To make a stay at Clayoquot Sound truly unforgettable, we also offer a menu of Bespoke Helicopter Experiences designed to suit every interest and occasion (additional charges apply). The Healing Grounds Spa offers a choice of à la carte treatments including facials and hot stone massage. Special reserve wines and liquor from the cellarmasters list are also available for an additional fee.

Orientation

After the short but scenic ride from the floatplane dock – by horse-drawn wagon, no less – a Champagne reception awaits at the Cookhouse. Enjoy snacks and appetizers, a cocktail or refreshment of your choosing and settle in by the fire for a brief orientation. You will meet your hospitality team, learn about wilderness safety, lodge amenities and how-to register for activities and spa. You will then be shown to your accommodation where your luggage awaits.

Wifi & Cell Service

By design, there is no in-room telephone or television, but all guest and amenity tents offer reliable and complimentary wifi. We make wireless printing available through our office, and should you need access to a computer there is an Apple Mac with printer connectivity in one of the lounge tents. Traditional text messaging and cellular calls cannot be sent or received to devices at the lodge. However, iMessage, iChat, FaceTime, Whatsapp and any other web-based messaging applications will keep you connected.

First Aid and Safety

Guests are briefed on location of the first-aid room upon arrival, as well as contact method for our on-duty first-aid officer. First-aid room is equipped with AED is open 24/7, Guests are asked to fill-out a pre-arrival form to advise any dietary preferences, allergies and other health information so staff and service delivery meet requirements. Guides are trained in Wilderness First Aid and carry first aid and/or wilderness survival kits, as appropriate, on all outings.

Gift Certificates

Gift certificates are valid for specific dates and seasons only and may be redeemed only by the recipient unless permitted by General Manager(s). Certificates are non-transferable – person to person or season to season, and they have no cash value. Gratuities are not included in gift certificates awarded to non-profit organizations for the purposes of fundraising, therefore gratuities are due from the certificate holder.
